Privacy statement
CheckYourTerms is responsible for the processing of your personal data as set out in this privacy statement.
1. Data Processing
CheckYourTerms processes your personal data because you use our services or website and/or because you provide this data to us yourself. Below you will find an overview of the personal data we process:
- First and last name;
- Email address;
- Personal data contained in your uploaded documents, insofar as they have not been anonymized, such as date of birth, place of birth, marital status, telephone numbers and signatures;
- Other personal data that you actively provide in correspondence and via telephone.
Our service and website are not directed at children under the age of 16, unless they have permission from their parents or guardian. We therefore do not knowingly process personal data of individuals younger than 16 years. If we determine, or are informed by third parties, that we have collected personal data from a minor without valid consent from their parent or legal representative, we will delete this data immediately. If you have reason to believe this is the case, please contact us at info@checkyourterms.com, and we will delete this information.
2. Special Categories of Personal Data
Our service is not aimed at processing special categories of personal data, as referred to in Article 9 of the General Data Protection Regulation (GDPR). This includes data about health, religion or belief, race or ethnic origin, political opinions, sexual orientation, genetic or biometric data for the purpose of unique identification.
We therefore do not ask you to provide such data and explicitly request that you refrain from doing so.
3. Processing Purposes and Legal Bases
CheckYourTerms processes your personal data for the following purposes and legal bases:

4. Retention Periods
CheckYourTerms does not store your documents. Immediately after uploading them, your documents and the personal data they contain are deleted. It may occur that a reference to or quote from your document is included in the generated report. That part of your document is therefore stored (temporarily) until your account is deleted.
The personal data linked to your personal account is stored for a maximum of one year. If you have not actively used your account for one year, you will receive an email from us one week in advance stating that we intend to delete your account (and thus also your personal data). If you have not logged into your account within one week, we will permanently delete your account (and thus your personal data).
5. Sharing Personal Data with Third Parties
CheckYourTerms only provides personal data to third parties if this is necessary for the performance of our contract with you or to comply with a legal obligation. The third parties to whom CheckYourTerms may provide your personal data are (IT) service providers, payment providers, and cloud providers.
6. Cookies and Similar Technologies
CheckYourTerms only uses functional cookies that have no or minimal impact on your privacy. We do not need to ask for consent for these cookies based on the Telecommunications Act (Article 11.7a). A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and remember, for example, your preferred settings. You can opt out of cookies by setting your internet browser so that it no longer stores cookies. You can also delete all information previously stored via your browser settings.
7. Your Rights
You have the right to access, correct, or delete your personal data.
You also have the right to withdraw your consent for data processing at any time. Withdrawing consent does not affect the lawfulness of processing that took place before the withdrawal.
You can send a request for access, correction, deletion, data portability of your personal data, or a request to withdraw your consent or object to the processing of your personal data to info@checkyourterms.com. If we have doubts about your identity, we may request additional information to verify your identity. We will respond to your request as soon as possible, but within four weeks.

8. Security
CheckYourTerms takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure, and unauthorized modification. The security measures taken are as follows:
- Internet traffic is encrypted via SSL/https;
- Authentication using the OAuth2 protocol;
- Limited access to sensitive data based on roles (role-based access control).

9. International Transfers of Personal Data
The personal data we process is only stored and processed within the European Economic Area (EEA).
We do not transfer your personal data to countries outside the EEA ("third countries") or to international organizations.
Should this prove necessary in the future, we will only do so in compliance with applicable legislation and appropriate safeguards, as referred to in Article 44 et seq. of the GDPR. We will inform you of this in a timely manner.
